AI agent

The email agent that pre-sorts your inbox

Enquiries, invoices, appointment requests, spam: the agent recognises what is pending, prepares replies and creates tasks. You decide what it may send itself.

The agent identifies itself as AI – transparent and traceable.

Email agent

  • Drafts instead of blind sending
  • Rules per sender and topic
  • All actions logged
  • Attachments only analysed if you allow it
4–8 weeksto pilot start (guideline)
A personapproves what matters
Privacy-mindedbuilt with clear limits

Guideline values and concept – not results of real customers.

Dashboard view

Everything important at a glance: what the agent has handled, what needs your approval and what was handed to a person.

Sending only after your approval
Forwarding to the right person
Flow

Automatic where it is safe – with a person where it matters

Every step is visible and traceable. In special cases or when unsure, a person decides.

Clear boundaries

What the agent may do – and what not

The agent handles itself

  • Sort and label emails
  • File spam and newsletters
  • Send acknowledgements
  • Suggest tasks and appointments

Submitted for approval

  • Replies to customers
  • Invoice and contract topics
  • Requests with attachments

Never does

  • Delete messages without a rule
  • Give legally binding commitments
  • Forward confidential content unless you defined it
Integration

Where the agent can connect

  • Microsoft 365 / Exchange
  • Google Workspace
  • Calendar
  • CRM
  • Task management

Which systems can be connected is clarified in the analysis call – it depends on the interfaces of your software.

Example calculation

Calculate with your own numbers

A thought model for inbox work.

Example calculation
Relief per month (hours)–
Calculated value per year–
Example calculation with freely editable assumptions – not a forecast and not a promise. Actual relief depends on your workflows; we work it out in the analysis.
Control & security

You stay in control

AI agents only work within the rules you define together with us.

People decide

Important steps are submitted for approval. You decide what may run automatically.

Traceable

Every action is logged so you can always see what happened.

Privacy from the start

Built with GDPR in mind: data minimisation, processing agreements and deletion concepts are planned from the beginning.

AI disclosure

Agents identify themselves as AI towards customers, as the EU AI Act (Art. 50) envisages for interaction with AI systems.

Legal requirements depend on the individual case. We do not replace legal advice.

Delivery

How the rollout works

Manageable, in stages, with clear decision points.

  1. Analysis

Joint conversation, document the process, define goal and limits.

  2. Pilot · 4–8 weeks

Limited deployment with real but non-critical cases.

  3. Go-live

    Step-by-step release, training, hand-off rules.

  4. Optimisation

    Evaluation, adjustment, controlled expansion.

FAQ

Answers to the most common questions

Does the agent read all my emails?

Only the agreed mailbox or folders. You decide what the agent may see. Private or confidential folders can be excluded.

Does the agent send replies on its own?

Only if you approve that for clearly defined cases, such as acknowledgements. Everything else is a draft awaiting approval.

Where are the emails processed?

That depends on the architecture. We disclose where processing happens and which providers are involved, and fix this contractually (data processing agreement) before data flows.

What about confidential client or patient data?

Professionals bound by secrecy have additional requirements. We discuss this beforehand and involve your data protection or legal adviser where needed.

Will the agent fit my company’s style?

We store tone and text blocks based on your previous correspondence – only with your approval.
